Cookies (so-called “cookies”) are IT data, in particular text files, which are stored in the Service User’s end device and are intended for use on the Service’s websites. Cookies are used for the following purposes:
- Adjusting the content of the Service’s websites to the User’s preferences and optimizing website usage; in particular, these files allow recognizing the Service User’s device and appropriately displaying the website, tailored to their individual needs.

From May 25, 2018, the provisions of Regulation (EU) 2016/679 of the European Parliament and of the Council of April 27, 2016, on the protection of natural persons concerning the processing of personal data and on the free movement of such data, repealing Directive 95/46/EC (GDPR), have been in force. The primary goal of the GDPR is to enhance the protection of personal data of individuals collected and processed by companies and institutions operating in the European Union.
Our company places great emphasis on meeting the requirements arising from the GDPR. Below, we present essential information regarding the application of new personal data protection regulations.
The administrator of your personal data processed at Hotel Quadrille is “Folwarczna” Górski sp. z o.o. S.K.A., based in Gdynia, at Folwarczna 2, 81-547 Gdynia, entered into the register of entrepreneurs by the District Court of Gdańsk Północ in Gdańsk, 8th Commercial Division of the National Court Register under number: 0000457351, NIP: 5862282192 (hereinafter referred to as “Quadrille”).
Quadrille processes your personal data, which means it collects, records, stores, deletes, or destroys it. In connection with the management of contracts entered into by Quadrille or the provision of services, your data will be processed to execute these contracts or fulfill obligations under applicable laws (e.g., tax regulations). You may also consent to the processing of your data for other purposes explicitly specified in the consent you provide.
Providing personal data is voluntary; however, without it, we will not be able to properly execute the contract, such as delivering services or issuing invoices.
Quadrille may process your personal data, for example:
- in relation to a contract for hospitality services, SPA services, or other agreements related to the company’s operations (Art. 6(1)(b) of GDPR);
- to comply with obligations under generally applicable laws, such as tax regulations or the Accounting Act (Art. 6(1)(c) of GDPR);
- when necessary to fulfill Quadrille’s legitimate interests, such as establishing or pursuing claims related to its business activities, including debt recovery or defense against claims (Art. 6(1)(f) of GDPR).
Personal data will be stored until the statute of limitations for claims arising from concluded contracts expires, which is no more than 10 years (pursuant to Art. 118 of the Civil Code) from the due date of a specific claim.
Recipients of your personal data may include banks, payment institutions, or online booking portals.
The purpose of GDPR is to ensure that every individual can protect their rights and freedoms and maintain control over the processing of their data. To this end, you can exercise the following rights:
- Right of access to data – you have the right to receive information about the data Quadrille processes about you, the purposes of processing, and obtain a copy of your data.
- Right to data deletion (right to be forgotten) – you can specify the scope and circumstances justifying your request for data deletion, such as when data is no longer necessary for the purposes for which it was collected, and no legal basis exists for further processing, or if data is processed unlawfully.
- Right to data portability – you can receive your personal data, which you provided to Quadrille, in a structured, commonly used, machine-readable format.
- Right to restrict processing – you can request that processing be restricted under conditions specified in Art. 18 of GDPR, e.g., if Quadrille does not need certain data or if no grounds exist for further processing.
- Right to rectify data – you can notify Quadrille of changes to your personal data at any time.
- Right to object – you can object to automated processing, including profiling, as well as processing for marketing purposes.
- Right to withdraw consent – if processing is based on consent, you can withdraw it at any time without affecting the legality of prior processing based on that consent.
Quadrille will respond to requests related to these rights without undue delay and, in any case, within one month of receiving the request.
Under both previous and current European data protection laws, Quadrille processes your data using appropriate technical and organizational measures necessary to ensure its security.
Your personal data is one of the most valuable assets for our company. Quadrille has implemented and continues to implement appropriate technical and organizational measures to protect personal data processing, particularly against unauthorized access, theft, loss, alteration, or destruction. Furthermore, all information about the Client–Quadrille relationship is legally protected as a business secret.
With the implementation of GDPR, Quadrille has appointed a Data Protection Officer (DPO) who can be contacted by post at Quadrille’s address with the note “Data Protection Officer” or via email at iod@quadrille.pl.
Your data may be transferred to third countries (e.g., the USA) in connection with:
- activities on social media platforms and the use of plugins and other tools from these platforms (e.g., Facebook, Twitter);
- the use of analytical tools for anonymized tracking of user behavior, particularly Google Analytics and Yandex.
Quadrille processes personal data of users visiting its administrator profiles on social media (e.g., Facebook). This data is processed solely in connection with managing the profile, including informing users about Quadrille’s activities, promoting events, services, and products, and communicating via social media functionalities. Quadrille uses tools based on customer profiling to personalize content and ads and analyze website and internet traffic.

If you consent to the processing of personal data, including your email address and phone number, for marketing activities related to products and services offered by “Folwarczna” Górski Spółka z o.o. S.K.A., based in Gdynia, and BQL Hospitality Group Sp. z o.o., based in Gdynia, your data will be jointly administered by these entities. Regarding individuals whose data is jointly processed, “Folwarczna” Górski Spółka z o.o. S.K.A. will be responsible for fulfilling obligations under data protection laws.
