Information on Personal Data Protection

From May 25, 2018, the provisions of Regulation (EU) 2016/679 of the European Parliament and of the Council of April 27, 2016, on the protection of natural persons concerning the processing of personal data and on the free movement of such data, repealing Directive 95/46/EC (GDPR), have been in force. The primary goal of the GDPR is to enhance the protection of personal data of individuals collected and processed by companies and institutions operating in the European Union.

Our company attaches great importance to meeting the requirements arising from the RODO. We therefore provide you with the necessary information on our application of the new data protection regulations below.

The administrator of your personal data processed at Hotel Quadrille is "Folwarczna" Górski sp. z o.o. S.K.A., based in Gdynia, at Folwarczna 2, 81-547 Gdynia, entered into the register of entrepreneurs by the District Court of Gdańsk Północ in Gdańsk, 8th Commercial Division of the National Court Register under number: 0000457351, NIP: 5862282192 (hereinafter referred to as "Quadrille").

Quadrille processes your personal data, which means it collects, records, stores, deletes, or destroys it. In connection with the management of contracts entered into by Quadrille or the provision of services, your data will be processed to execute these contracts or fulfill obligations under applicable laws (e.g., tax regulations). You may also consent to the processing of your data for other purposes explicitly specified in the consent you provide.

Providing personal data is voluntary; however, without it, we will not be able to properly execute the contract, such as delivering services or issuing invoices.

Quadrille may process your personal data, for example:

  • • in relation to a contract for hospitality services, SPA services, or other agreements related to the company’s operations (Art. 6(1)(b) of GDPR);
  • • to comply with obligations under generally applicable laws, such as tax regulations or the Accounting Act (Art. 6(1)(c) of GDPR);
  • • when necessary to fulfill Quadrille’s legitimate interests, such as establishing or pursuing claims related to its business activities, including debt recovery or defense against claims (Art. 6(1)(f) of GDPR).

Personal data will be stored until the statute of limitations for claims arising from concluded contracts expires, which is no more than 10 years (pursuant to Art. 118 of the Civil Code) from the due date of a specific claim.

Recipients of your personal data may include banks, payment institutions, or online booking portals.

The purpose of GDPR is to ensure that every individual can protect their rights and freedoms and maintain control over the processing of their data. To this end, you can exercise the following rights:

  • Right of access to data - the data subject has the right to be informed of, among other things, what data Quadrille processes about him or her, for what purposes it is processed, and to obtain a copy of it.
  • the right to erasure of data (right to be forgotten) - the data subject may indicate the scope and circumstances justifying the requested erasure, e.g. the data are no longer necessary for the purposes for which they were collected and there are no legal grounds for further processing, the data are being processed unlawfully.
  • the right to data portability - the data subject has the right to receive in a structured, commonly used machine-readable format the personal data concerning him or her which he or she has provided to Quadrille.
  • the right to restrict data processing - the data subject indicates that the prerequisites as set out in Article 18 RODO for the restriction of the processing of his/her data have occurred, e.g. Quadrille does not need certain data, there are no prerequisites for further processing and the data subject requests the suspension of data operations or the non-deletion of data.
  • the right to rectification of data - at any time when necessary, the data subject shall inform Quadrille of a change in his/her personal data.
  • right of objection - you can object at any time to the processing of data by automated means, including profiling and also object to the processing of data for marketing purposes.
  • if processing is based on consent - right to withdrawal of consent at any time without affecting the lawfulness of the processing carried out on the basis of consent before its withdrawal.

Quadrille shall, without undue delay - and in any event within one month of receipt of the request - provide the data subject with information on the action taken in relation to the exercise of the aforementioned rights.

Both during the course of the existing generally applicable data protection legislation (Personal Data Protection Act and its implementing regulation) and in light of the new European legislation, Quadrille processes your data using appropriate technical and organisational measures necessary to ensure the security of this data.

Your personal data are the most valuable resource for our company. Quadrille has therefore implemented and implements appropriate technical and organisational measures to ensure the protection of the processing of your personal data, in particular to safeguard your data against unauthorised access, removal by an unauthorised person, loss and alteration, damage or destruction. In addition, all information relating to the relationship between the Customer and Quadrille constitutes a legally protected business secret.

As of the effective date of the RODO, Quadrille appoints a Data Protection Officer, who can be contacted by letter addressing correspondence to Quadrille with the reference "Data Protection Officer", or by email: iod@quadrille.pl.

Your data may be transferred to third countries (including the USA) in connection with:
activities on social networks and the use of plug-ins and other tools from these sites (e.g. Facebook, Twitter,);
the use of analytical and anonymised user behaviour tracking tools, in particular such as Google Analytics and Yandex.

Quadrille processes the personal data of users visiting the administrator's profiles maintained on social media (e.g. Facebook). This data is processed exclusively in connection with the operation of the profile, including to inform users about Quadrille's activities and to promote various events, services and products, as well as to communicate with users through the functionalities available on social media. We would like to inform you that Quadrille uses tools based on customer profiling in order to personalise content and advertising and to analyse website and web traffic.

If you give your consent to the processing of your personal data, including your e-mail address and telephone number, for marketing activities concerning products and services offered by "Folwarczna" Górski Spółka z o.o S.K.A with its registered office in Gdynia, ul. Folwarczna 2, 81-547 Gdynia (KRS no.: 0000457351) (Administrator of personal data) and BQL Hospitality Group Sp. z o.o. z/s in Gdynia, ul. Folwarczna 2, 81 - 547 Gdynia (KRS no.: 0000563068) (Co-administrator of personal data) the processing of personal data takes place on the basis of their co-administration. With regard to the persons whose personal data are processed by the joint controllers, the entity responsible for fulfilling the personal data protection obligations is:  "Folwarczna" Górski Spółka z o.o S.K.A based in Gdynia, 2 Folwarczna Street, 81-547 Gdynia (KRS no: 0000457351) in accordance with the concluded agreement on the co-management of personal data. The main content of the arrangements between the joint controllers shall be made available to data subjects upon request.
